Privacy Policy
What we collect, why we collect it, and how you stay in control of it.
1.Overview
This Privacy Policy explains what information BriefNest, Inc. (“BriefNest,” “we,” “us”) collects when you use our mobile app and website (the “Service”), how we use it, and the choices you have. BriefNest exists to save you from taking notes — not to harvest your conversations for anything beyond that job.
2.Information we collect
Account information. Name, work email, password (hashed), profile photo, and organization details you provide at signup.
Meeting content. Audio you record, images of handwritten notes you scan, and transcripts you paste or import — along with the briefs, action items, and decisions BriefNest generates from them.
Usage & device data. App version, device type, crash logs, and general interaction data (e.g., which features you open) used to keep the Service reliable.
Integration data. If you connect Slack, Notion, Linear, or Jira, we receive the minimum data needed to post briefs, as authorized by you.
3.How we use information
- To generate briefs, summaries, decisions, and action items from your meeting content;
- To let you ask natural-language questions about your own briefs;
- To operate, secure, and improve the Service, including diagnosing bugs and preventing abuse;
- To send you service notifications (e.g., “your brief is ready”) and, if you opt in, product updates;
- To provide customer support when you contact us.
4.AI processing & model training
Some AI processing is performed by vetted infrastructure sub-processors under contracts that prohibit them from training their own models on your content.
5.Sharing & disclosure
We do not sell your personal information or your meeting content. We share data only with:
- Infrastructure and AI-processing sub-processors bound by confidentiality and data-protection agreements (see our Security page for details);
- Third-party tools you explicitly connect (e.g., Slack, Notion, Linear, Jira), limited to what you authorize;
- Professional advisors or authorities where required to comply with law, enforce our Terms, or protect rights and safety;
- A successor entity in the event of a merger or acquisition, subject to this Policy continuing to apply.
6.Data retention & deletion
We retain your meeting content and briefs for as long as your account is active, so you can search them and ask questions within an individual meeting. The one exception is the original audio of a recording: it is kept for the retention period of your plan (90 days on Starter, 12 months on Professional and Business, or the period set out in your Enterprise agreement) and then deleted automatically. Briefs, transcripts, and notes are not affected by that. You can delete an individual brief, or your entire account, at any time from Account settings. Deletion is permanent: when you delete a brief or your account, the underlying audio, notes, and transcripts are removed from production systems within 30 days, and from backups on their normal rotation schedule (up to 90 days).
7.How we protect your data
Meeting content is encrypted in transit and at rest, access to production data is limited to a small set of engineers under least-privilege controls, and we undergo independent audits. Full detail lives on our dedicated Security page.
8.Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. Residents of the EEA/UK can rely on GDPR rights; California residents can rely on the CCPA/CPRA. To exercise any of these rights, use in-app export/delete tools or email privacy@briefnest.ai — we’ll respond within 30 days.
9.International transfers
BriefNest is based in the United States and may process data in other countries where our infrastructure or sub-processors operate. Where we transfer personal data out of the EEA, UK, or Switzerland, we rely on Standard Contractual Clauses or an equivalent lawful mechanism.
10.Children’s privacy
BriefNest is intended for people 16 and older and for workplace use. We do not knowingly collect information from children under 16. If you believe a child has provided us data, contact us and we’ll delete it.
11.Cookies & similar technologies
Our website uses a small number of first-party cookies for session management and basic, privacy-respecting analytics (no third-party ad trackers). You can control cookies through your browser settings; the mobile app does not use cookies.
12.Changes to this policy
We’ll notify you by email or in-product notice before a material change to this Policy takes effect. The “last updated” date above always reflects the current version.
